Local Processing of XML Files<\/h2>\n\n\n\n<p class=\"wp-block-paragraph\">Peppol XML Print is a local Windows application that allows users to open, view, convert and print Peppol and UBL XML files.<\/p>\n\n\n\n<p class=\"wp-block-paragraph\">XML invoices and credit notes:<\/p>\n\n\n\n<ul class=\"wp-block-list\">\n<li>are selected by the user from their computer or local network;<\/li>\n\n\n\n<li>are not downloaded from our servers;<\/li>\n\n\n\n<li>are not automatically sent to our website or licence server;<\/li>\n\n\n\n<li>are not stored by us;<\/li>\n\n\n\n<li>are not used for analytics, advertising or profiling.<\/li>\n<\/ul>\n\n\n\n<p class=\"wp-block-paragraph\">The application does not transmit invoice content, customer or supplier details, amounts, bank account numbers or other information contained in opened XML documents to Peppol XML Print.<\/p>\n\n\n\n<p class=\"wp-block-paragraph\">We only receive an XML file when a user voluntarily sends it to us, for example as an attachment to a support request. We recommend sending only the information strictly necessary to investigate the technical issue.<\/p>\n\n\n\n<h2 class=\"wp-block-heading\">3. What Personal Data Do We Process?<\/h2>\n\n\n\n<h3 class=\"wp-block-heading\">3.1 Order and Customer Data<\/h3>\n\n\n\n<p class=\"wp-block-paragraph\">When you order a licence, we may process the following information:<\/p>\n\n\n\n<ul class=\"wp-block-list\">\n<li>first and last name;<\/li>\n\n\n\n<li>company or business name;<\/li>\n\n\n\n<li>billing address;<\/li>\n\n\n\n<li>country;<\/li>\n\n\n\n<li>email address;<\/li>\n\n\n\n<li>telephone number, when provided;<\/li>\n\n\n\n<li>company registration number;<\/li>\n\n\n\n<li>VAT number;<\/li>\n\n\n\n<li>licence or subscription ordered;<\/li>\n\n\n\n<li>order number;<\/li>\n\n\n\n<li>invoice number;<\/li>\n\n\n\n<li>purchase amount;<\/li>\n\n\n\n<li>VAT amount;<\/li>\n\n\n\n<li>currency;<\/li>\n\n\n\n<li>payment status;<\/li>\n\n\n\n<li>order, payment and renewal dates.<\/li>\n<\/ul>\n\n\n\n<h3 class=\"wp-block-heading\">3.2 Licence Data<\/h3>\n\n\n\n<p class=\"wp-block-paragraph\">To activate, verify, renew and secure a licence, we may process:<\/p>\n\n\n\n<ul class=\"wp-block-list\">\n<li>licence key or licence ID;<\/li>\n\n\n\n<li>customer ID;<\/li>\n\n\n\n<li>selected licence plan;<\/li>\n\n\n\n<li>start date and expiry date;<\/li>\n\n\n\n<li>licence status;<\/li>\n\n\n\n<li>number of permitted devices;<\/li>\n\n\n\n<li>number of activated devices;<\/li>\n\n\n\n<li>device or computer name;<\/li>\n\n\n\n<li>technical device fingerprint;<\/li>\n\n\n\n<li>version of Peppol XML Print;<\/li>\n\n\n\n<li>date and time of activations, checks and deactivations;<\/li>\n\n\n\n<li>technical error messages related to licence verification.<\/li>\n<\/ul>\n\n\n\n<p class=\"wp-block-paragraph\">The technical device fingerprint is used solely to associate a device with a licence, monitor the number of permitted installations and prevent licence misuse.<\/p>\n\n\n\n<h3 class=\"wp-block-heading\">3.3 Acceptance of Licence Terms<\/h3>\n\n\n\n<p class=\"wp-block-paragraph\">Upon first activation and at every licence renewal, the user must read and expressly accept the licence terms then in force.<\/p>\n\n\n\n<p class=\"wp-block-paragraph\">To demonstrate which terms were accepted, we may retain:<\/p>\n\n\n\n<ul class=\"wp-block-list\">\n<li>the version of the licence terms;<\/li>\n\n\n\n<li>a cryptographic hash of the accepted text;<\/li>\n\n\n\n<li>the language of the terms;<\/li>\n\n\n\n<li>the date and time of acceptance;<\/li>\n\n\n\n<li>the associated licence or customer ID;<\/li>\n\n\n\n<li>the application version;<\/li>\n\n\n\n<li>identification of the relevant device;<\/li>\n\n\n\n<li>the technical IP address used when the acceptance was registered.<\/li>\n<\/ul>\n\n\n\n<p class=\"wp-block-paragraph\">A licence renewal is only fully activated after the current licence terms have been accepted.<\/p>\n\n\n\n<h3 class=\"wp-block-heading\">3.4 Payment Data<\/h3>\n\n\n\n<p class=\"wp-block-paragraph\">Payments are processed using <strong>WooPayments<\/strong>. WooPayments uses, among other services, the payment infrastructure of <strong>Stripe<\/strong>.<\/p>\n\n\n\n<p class=\"wp-block-paragraph\">Depending on the selected payment method, WooPayments, Stripe, banks and other parties involved in the payment process may process:<\/p>\n\n\n\n<ul class=\"wp-block-list\">\n<li>name;<\/li>\n\n\n\n<li>email address;<\/li>\n\n\n\n<li>billing address;<\/li>\n\n\n\n<li>telephone number;<\/li>\n\n\n\n<li>IP address;<\/li>\n\n\n\n<li>order amount;<\/li>\n\n\n\n<li>currency;<\/li>\n\n\n\n<li>payment method;<\/li>\n\n\n\n<li>transaction identifier;<\/li>\n\n\n\n<li>payment status;<\/li>\n\n\n\n<li>data required for fraud prevention;<\/li>\n\n\n\n<li>partial information about the payment method used.<\/li>\n<\/ul>\n\n\n\n<p class=\"wp-block-paragraph\">We normally do not receive complete payment card details. The actual card and payment data are processed by the relevant payment provider.<\/p>\n\n\n\n<p class=\"wp-block-paragraph\">WooPayments, Stripe and other payment providers may also carry out automated checks to detect suspicious or fraudulent payments.<\/p>\n\n\n\n<h3 class=\"wp-block-heading\">3.5 Website and Server Data<\/h3>\n\n\n\n<p class=\"wp-block-paragraph\">When you visit our website or use the licence server, certain technical information may be recorded, including:<\/p>\n\n\n\n<ul class=\"wp-block-list\">\n<li>IP address;<\/li>\n\n\n\n<li>date and time of the request;<\/li>\n\n\n\n<li>requested page or server function;<\/li>\n\n\n\n<li>browser type;<\/li>\n\n\n\n<li>operating system;<\/li>\n\n\n\n<li>HTTP status code;<\/li>\n\n\n\n<li>error messages;<\/li>\n\n\n\n<li>failed activation or sign-in attempts;<\/li>\n\n\n\n<li>security alerts.<\/li>\n<\/ul>\n\n\n\n<p class=\"wp-block-paragraph\">This information may be stored in web server, firewall and application logs.<\/p>\n\n\n\n<h3 class=\"wp-block-heading\">3.6 Support and Communications<\/h3>\n\n\n\n<p class=\"wp-block-paragraph\">When you contact us, we may process:<\/p>\n\n\n\n<ul class=\"wp-block-list\">\n<li>your name;<\/li>\n\n\n\n<li>your email address;<\/li>\n\n\n\n<li>your company name;<\/li>\n\n\n\n<li>details relating to your order or licence;<\/li>\n\n\n\n<li>the content of your message;<\/li>\n\n\n\n<li>screenshots you provide;<\/li>\n\n\n\n<li>XML files you voluntarily send;<\/li>\n\n\n\n<li>technical information;<\/li>\n\n\n\n<li>our replies and further correspondence.<\/li>\n<\/ul>\n\n\n\n<h2 class=\"wp-block-heading\">4. Why Do We Process Personal Data?<\/h2>\n\n\n\n<p class=\"wp-block-paragraph\">We process personal data for the following purposes:<\/p>\n\n\n\n<ul class=\"wp-block-list\">\n<li>receiving and fulfilling orders;<\/li>\n\n\n\n<li>providing and activating licences;<\/li>\n\n\n\n<li>verifying, renewing and deactivating licences;<\/li>\n\n\n\n<li>monitoring the permitted number of installations;<\/li>\n\n\n\n<li>processing payments and possible refunds;<\/li>\n\n\n\n<li>issuing invoices and accounting documents;<\/li>\n\n\n\n<li>displaying the applicable licence terms;<\/li>\n\n\n\n<li>recording acceptance of the licence terms;<\/li>\n\n\n\n<li>informing customers about their order or licence;<\/li>\n\n\n\n<li>providing technical support;<\/li>\n\n\n\n<li>investigating disruptions and security incidents;<\/li>\n\n\n\n<li>preventing fraud and unauthorised licence use;<\/li>\n\n\n\n<li>complying with legal and tax obligations;<\/li>\n\n\n\n<li>establishing, exercising or defending legal claims;<\/li>\n\n\n\n<li>securing our website, application and infrastructure.<\/li>\n<\/ul>\n\n\n\n<p class=\"wp-block-paragraph\">We do not sell personal data.<\/p>\n\n\n\n<h2 class=\"wp-block-heading\">5. Transfers Outside the European Economic Area<\/h2>\n\n\n\n<p class=\"wp-block-paragraph\">WooPayments, Automattic, Stripe or other international payment and technology service providers may process personal data outside the European Economic Area.<\/p>\n\n\n\n<p class=\"wp-block-paragraph\">Where an international data transfer takes place, it must be based on a valid legal basis and an appropriate safeguard, such as:<\/p>\n\n\n\n<ul class=\"wp-block-list\">\n<li>an adequacy decision by the European Commission;<\/li>\n\n\n\n<li>approved Standard Contractual Clauses;<\/li>\n\n\n\n<li>another legally permitted transfer mechanism.<\/li>\n<\/ul>\n\n\n\n<p class=\"wp-block-paragraph\">Further information about these processing activities is available in the privacy policies of WooPayments, Automattic and Stripe.<\/p>\n\n\n\n<h2 class=\"wp-block-heading\">8. Retention Periods<\/h2>\n\n\n\n<p class=\"wp-block-paragraph\">Personal data are not retained for longer than necessary.<\/p>\n\n\n\n<p class=\"wp-block-paragraph\">We apply the following principles:<\/p>\n\n\n\n<ul class=\"wp-block-list\">\n<li><strong>Locally opened XML files:<\/strong> these are not received or stored by us.<\/li>\n\n\n\n<li><strong>Order, invoicing and accounting data:<\/strong> these are retained for the applicable statutory period. In Belgium, invoices and relevant accounting records must generally be retained for ten years.<\/li>\n\n\n\n<li><strong>Active licence data:<\/strong> these are retained for as long as the licence remains active.<\/li>\n\n\n\n<li><strong>Expired or terminated licence data:<\/strong> these may subsequently be retained for as long as necessary for administration, fraud prevention, contractual evidence or legal claims.<\/li>\n\n\n\n<li><strong>Evidence of acceptance of licence terms:<\/strong> this is retained for as long as reasonably necessary to demonstrate the contractual relationship and applicable terms.<\/li>\n\n\n\n<li><strong>Support communications:<\/strong> these are retained for as long as necessary to handle the request and any subsequent questions or disputes.<\/li>\n\n\n\n<li><strong>Technical logs:<\/strong> these are retained for a limited period, depending on security, troubleshooting and fraud-prevention needs.<\/li>\n\n\n\n<li><strong>Security incident data:<\/strong> these may be retained for longer where necessary for investigation, evidence or legal proceedings.<\/li>\n\n\n\n<li><strong>Backups:<\/strong> deleted data may temporarily remain in backups until those backups are replaced according to the normal backup schedule.<\/li>\n<\/ul>\n\n\n\n<p class=\"wp-block-paragraph\">Where a legal dispute, fraud investigation or regulatory inspection is ongoing, relevant data may be retained for longer.<\/p>\n\n\n\n<h2 class=\"wp-block-heading\">9.
